Skoda Minotti chose ProSystem fx Scan and AutoFlow as part of our initiative to become more efficient and to adopt a paperless process. After researching and reviewing what like-sized firms had done, and even trying some other products, it became apparent to us that the ProSystem fx Scan and AutoFlow package was on the leading edge of technology.

In regards to what we like about the Scan and AutoFlow solutions, we love the bookmarked PDF of the scanned file and we believe the best part of AutoFlow right now is the ability to bring in K-1 information and import Schedule D (capital sales) transactions. What’s more, ProSystem fx Scan and AutoFlow allowed our workflow process to become completely paperless, more efficient and more streamlined. There’s no more sending files around the office and no more lost workpapers!

The time savings per return averages about 15 – 20 minutes. Summit Financial Strategies has a small tax department with three professionals and one administrative person. Our firm uses ProSystem fx Tax and Document, and the integration capabilities with Scan made it an easy choice for implementation. AutoFlow was added for the 2010 filing season; it worked very well and cut down tax return preparation time by 30 minutes to an hour depending on the size of the return.  We especially like the auto bookmark feature and how PDFlyer allows us to convert the capital gain/loss information from PDF to Excel, which then allows import into ProSystem fx Tax.

One of the firm’s partners observed that this was the smoothest tax season ever, and that we completed the same amount or more individual tax returns than in prior years, but that staff worked less overtime.  I am happy to say that ProSystem fx Scan and AutoFlow works well, increases our productivity, and is a very good investment.  I find this to be especially true in my case, as I had a new baby girl in June, have been working from home, and these paperless tools really make working from home possible!

Benson & Neff

Benson & Neff chose ProSystem fx Scan and AutoFlow because of its tight integration with ProSystem fx Tax and because we thought it would  streamline our processes and possibly save us time.  I am happy to say that it has done that and more...

For example, Scan’s output gives us a nice organized file with bookmarks that create a more organized electronic workpaper file in general.  Better yet, the AutoFlow feature saves us time by eliminating the need for substantial manual data input.  As a result, our firm’s workflow has been much more effective. 

In regards to our workflow, utilizing ProSystem fx Scan takes less time than the old way of copying and indexing which was -- and still is -- an administrative function for us.  The AutoFlow feature saves data input time, which is huge because data entry is the responsibility of the professional staff, as we have never used data entry clerks.

In summary, ProSystem fx Scan and AutoFlow have made our firm much more productive.  It’s definitely a big part of Benson & Neff moving to the electronic filing/paperless office, especially since tax prep constitutes a large portion of our practice.  To that end, Scan and AutoFlow have changed how we think about tax preparation and allowed us to continue to take on new clients without having to increase staff.  Two or three years ago we were considering outsourcing some tax prep work, but with Scan and Autoflow, that need disappeared.

We chose ProSystem fx Scan and AutoFlow because at the time, with the products we tested, it best served our purpose -- which was to move to a paperless tax preparation environment.  This software has enabled us to do that and more.

One of the bigger selling points of the product was the PDFlyer toolbar. However, the organization and optical character recognition that this software is capable of is also very impressive. In addition the software isn’t very cumbersome to maintain, and with typically only 3 or 4 updates a year, we are able to keep it fairly current.

ProSystem fx Scan has allowed us to take huge steps in the right direction to move to an entirely paperless environment. In conjunction with the ProSystem fx Engagement product, we have developed some great policies and procedures that have increased our organization and accessibility of client information. We have taken an “outside-the-box” approach with this software. While it has proven to be a great organization resource creating a searchable and logically organized PDF, it has also allowed us to bulk scan our internal documents to a network location that has improved/streamlined majority of our workflow. We are able to access client information on demand in a matter of seconds. We were able to eliminate some redundant tasks such as scanning documents for digital storage purposes after copies had been made to prepare tax returns. In addition to these improved processes, the PDFlyer toolbar has made our transition to a paperless environment much more user friendly. Tools that are not available with Adobe Standard like calculator tapes and linked stamps are now part of our everyday arsenal. We use these tools as much in our audit work as we do in our tax work. PDFlyer has also made some processes much easier, for example adding pages to a PDF is extremely simplified with the toolbar.

We would recommend ProSystem fx Scan to others because it is a fairly simple software to maintain, and has helped us to achieve our goals of working in a paperless environment.  It has definitely allowed us to be much further along in paperless

ProSystem fx Scan and AutoFlow is a must-have for anyone that prepares a decent amount of individual tax filings; the time saved is fantastic!

My firm chose ProSystem fx Scan and AutoFlow mainly because of the integration with CCH’s ProSystem fx Tax software.  The expected time savings -- which became realized -- was an added benefit.  The product was great.

Specifically, what we like most about Scan is the ability for it to quickly organize many documents into a bookmarked PDF.  It helps speed the tax preparation and review process, and also leads to less errors.  For example, our process now starts with Scan, then Tax Prep, Review, and finally sending the finished product to the client.  In the past our process started with organizing all the papers, prep, scan needed documents (without any bookmarks), and then send the final product to the client.  Additionally, with Scan and AutoFlow, I’m able to quickly find key documents in client workpapers without have to search long and hard.

In regards to time savings, on average we realized 10-20 minutes per return -- mostly related to organizing of documents, and the review process.  We expect that to increase to 20-30 per return minutes in the 2012 filing season.  

In summary, I recommend ProSystem fx Scan and AutoFlow because when used together, AutoFlow eliminates some of the data entry aspects of tax return preparation, especially those capital gain schedules.  And in my practice, a number of clients have 10-20  W-2s. As a “less paper” office, to now have a tool to help organize client documents before the return is prepared is a big time saver.
