"Looking back over the last 8 years it is easy to see that the result of using ProSystem fx Engagement has been enormous. The most visual change has been the implementation of electronically stored documents. This has resulted in our physical document storage space going from 600sq ft, floor to ceiling, to only 2 filing cabinets. The only physical copies we keep are engagement & representation letters and tax notice correspondence. All documents are now scanned and stored within the clients engagement binder. Filing is generally done by an administrative assistant and put directly into the clients binder for all staff to access as necessary. With part of the freed up office space we created a new dedicated server room and also established an additional corner office. Field work has also been drastically improved. Year end engagements are now completed in their entirety at the client offices. All staff were equipped with portable scanners for scanning documents directly into engagement. The only items staff now take to a client is their laptop and scanner. No longer did we need any supplies such as paper, pencils, stapler, hole punch, etc. Staff have multiple years of the clients documents electronically at their fingertips on their laptop, and they easily share these back and forth as necessary. Tax returns are checked out and the staff prepares the preliminary return at clients’ offices. Partners come to the client’s office to review the workpapers and the tax return right there. This has allowed us to perform engagements faster and more efficiently. Thanks to the linking process, any trial balance changes are automatically updated within the tax return. This process has helped cut corporate tax return prep time in half. We essentially have our entire filing cabinet system with us while out of the office. Staff now also have multiple client binder copies with them at all times, which is beneficial if they need to use a custom workpaper for a client that they previously prepared for another client. It is extremely helpful to have a copy of a client’s binder while out of the office because, when the client calls, we can instantly answer questions about their tax return, financials, etc. In the last two years we have additionally implemented ProSystem fx Scan and now prepare all of our personal tax returns electronically using Engagement also. All personal return source documents are front end scanned when they come in the door and the PDF file is put into the client’s Engagement binder. ProSystem fx Scan has helped us streamline the process of 1040 prep by eliminating much of the partner and accountant time spent doing pre-prep sorting plus greatly reduced the time at the reviewer level. First preparer documentation process has become more uniform, clear and clarified. One of the best rewards of using ProSystem fx Engagement is showing it to clients. Clients love the paperless process. We present the system to our client as an electronic filing cabinet and when they see we are sitting in their office with copies of 7 years worth of their corporate and personal returns along with the workpapers on how we made decisions from previous years they are amazed. That is pretty priceless in its own regard."
